Introduction, explanation and purpose of the WooCommerce integration
The WooCommerce integration connects Telaris to a WooCommerce web shop. The integration makes it possible to maintain products, categories and manufacturers in Telaris, and let the web shop update automatically.
At the same time, orders are imported from WooCommerce back into Telaris, so that order processing, picking, shipping and invoicing can be done in Telaris as normal.
This reduces duplicate maintenance of product data, minimises manual order transfer and ensures that prices, stock and order status stay up to date between the systems.
Tips: Telaris is the master for product data in the integration. This means that fields active in the synchronisation overwrite the corresponding data in WooCommerce at the next export.
Walkthrough of the solution
The WooCommerce integration is used to let Telaris control key data toward the web shop, while the web shop sends orders back to Telaris. The solution is found under Administration → Integrations in Telaris, where the administrator can configure connection, product sync, category sync and order import.
A typical workflow is that the administrator sets up the integration, exports products and categories from Telaris to WooCommerce, and lets customers shop in the web shop. When an order comes in, it is created in Telaris and processed further there.
What is synchronised between Telaris and WooCommerce
The integration can export products, categories and manufacturers from Telaris to WooCommerce.
For products, the solution can synchronise, among other things, name, description, price, sale price, stock level, images, brand, categories and variants. Prices and stock are updated automatically every hour, in addition to products being exported when they change in Telaris.
Categories can be exported with hierarchy, description and image, so that the category structure in the web shop mirrors the structure in Telaris.
NOTE: Only products under the selected top category in Telaris are synchronised to WooCommerce.
How orders flow from the web shop to Telaris
Orders from WooCommerce are imported into Telaris in the background. This is handled automatically by the integration.
When the order is received, a customer is created automatically if the customer does not already exist, and the order lines are matched to products in Telaris based on SKU or product number.
Shipping lines from WooCommerce are added as separate order lines in Telaris using the configured shipping product.
NOTE: Order import normally triggers for orders with status "Processing" or "On-hold" in WooCommerce.
How status is updated back to WooCommerce
When an order is invoiced in Telaris, the order status is automatically updated to Completed in WooCommerce.
This lets the customer in the web shop see that the order has been fully processed. The status update happens automatically, as long as the order has a link to WooCommerce.
NOTE: The integration only updates the order status to Completed upon invoicing. Other status changes in Telaris are not synchronised back to WooCommerce.
Common limitations and important things to know
- The WooCommerce integration does not import products from WooCommerce into Telaris. New products must be created in Telaris.
- Telaris overwrites active fields in WooCommerce during synchronisation. Changes made directly in the web shop to fields that are active in the integration will therefore be lost at the next export.
- For bundle products, a compatible bundle plugin is required in WooCommerce if the customer is to see the contents correctly in the web shop. A bundle product will appear as a single product, but will show the contents of the bundle
