Daily use: The driving log tab

The driving log tab on an order shows business trips imported from ABAX and lets you add them to the order as order lines. This guide explains import, how to add a trip, and how to complete or remove trips.

Import of trips

Telaris retrieves business trips from ABAX automatically every hour, and in addition every time you open the driving log tab on an order. Only trips categorised as business trips are imported – private trips are skipped and never stored. In addition, only trips for drivers who have consent activated in the setup are imported.

Each imported trip contains departure and arrival location, times, distance (km), duration, purpose (if registered), and any expenses (parking, tolls, ferry).

NOTE: Each import run retrieves up to 50 trips from ABAX at a time, and business-trip and consent filtering is done on these. If you have many trips at once (typically at first setup), it can take several runs before everything is retrieved. The import runs automatically every hour, and no more often than every minute even if the tab is opened repeatedly.

Open the driving log tab

Open an order in Telaris and go to the «Driving log» tab. The table shows all available trips that are not yet completed or removed, with vehicle, driver, route with times, distance, purpose and total expenses.

NOTE: The driving log tab is only shown on orders when there is at least one activated driving log integration. If ABAX is not activated, the tab is not shown.

Adding a trip to the order

Click «Add to the order» on a trip. Then the following happens automatically:

• An order line for mileage is created, based on the configured trip product. The quantity is set to the number of kilometres.
• If the trip has expenses (parking, tolls, ferry), one order line per expense type is created, based on the cost product, with amount and description.
• If the trip is linked to a vehicle (tag), the tag is linked to the order.

A trip can be added to several orders. Trips that are already added to the current order are marked with «Already added to the order».

Completing or removing trips

After a trip has been added, you can click «Mark completed» to move it out of the active list. Trips that are not added to any order can be removed with «Remove». Removed trips disappear from the list, but are not deleted from the database.

NOTE: Only trips with the status «new» can be added to an order. Trips that are completed or removed cannot be added.

Which trips you see

By default, you only see trips linked to your own personnel – your own trips. Users who are set up as trip administrators see all drivers' trips, regardless of who drove. Trip administrators are set in the integration setup.
